Due to the fact that another abstract submitted in the WG1 was accepted, my institution gave permission to travel to Santiago for the DIS conference. Dear Nestor,
All authors in the accepted poster are Indian. The same problem is
applicable to all. Thus there is no possibility of any of the authors
to actually go to Spain and present, be it parallel session talk or
poster.
I have also cced Abhay, who is in the International advisory committee.
It is rather shocking to see the hard working students from countries like
India being denied the opportunities to present their work due to reasons
that are beyond their control. If the physics content of papers and
posters are accepted, there should be some arrangement for their
presentation.
Like parallel session talks, posters can also be presented virtually. The
person presenting may be made available on a video chat next to the poster
during the session.

Dear Amol,
If the conference is in person as we plan at present, we may eventually
host some
talks online, but not the posters. I am sorry but we do not see right now
a way to
make traditional posters compatible with online presentations. If some
other author
comes in person, she/he may present it.

Spain. It was
mentioned that the visitor should have received the COVID vaccine dose

older than 270 days of their visit. My second dose of the COVID vaccine is

than 270 days. In India, booster doses are not available for my age group.
It would
not be possible for me to be present there in person. I would like to
present my
poster virtually if such arrangements are possible. Please provide me with

Hello,
Initially, I submitted my abstract for the plenary session WG1, structure
functions and parton densities.
It was accepted for in person poster presentation. Unfortunately, I cannot
accept this option because I have an infant baby and I cannot travel.
Is it possible to transfer my contribution from WG1 to WG5 for a remote talk?
I also think that session WG5 is more relevant to my work. Below is my

Title: Independent amplitudes in the quark and antiquark correlators and
TMDs in the covariant parton model
Abstract: Covariant parton model (CPM) is a generalization of the Feyman's
parton model which does not prefer any special reference system. Within
the framework of covariant parton model, we study the properties of the
quark and antiquark correlators determined by the equations of motion of
the free partons, and derive the polarization vectors for quarks and
antiquarks in mixed-spin and pure-spin states. We show that for partons in
the pure-spin state, there is only one polarized and one unpolarized
amplitude in each of the quark and antiquark correlator.

Thank you for accepting my abstract, I should most likely be able to make
it, but if there are cancellations and there's any chance of turning my
presentation into a talk, that would be really great. It would help also
with approval for my travel, since in principle we're only authorised to
travel to conferences if we have oral presentations.

Change contribution #54 from poster to talk? (This is a PRL / first measurement)

Dear conveners of WG1, WG4 and WG5,
this is Stefan Schmitt for the H1 collaboration. We noted that our
abstract #54 about lepton-jet angular decorrelations has been accepted,
but only as a poster.
We were wondering whether it will be possible to change this to a talk,
given the importance of this result in the field (interplay of
traditional PDFs and TMDs).
It is a first measurement and the first application of a new
experimental method. The paper has been accepted for publication in
PRL (we are in the stage of correcting the proofs), and it has not been
shown at previous editions of DIS. See [arxiv:2108.12376].
For a possible DIS2022 conference oral presentation we were planning to
expand on the PRL results by performing a multi-differential analysis, which
could be valuable input for future TMD fits.

Poster for WG5

Dear Yoshitaka, Yoshiyuki, and Qinghua,
First of all, thank you for accepting my abstract for presenting at WG5 as
a poster. I understand that there were many applications this year and many
talks had to be converted to posters.
I wanted to ask you whether you plan to offer posters for remote
presentations? To attend the workshop, I will need to apply for a Spain
visa, and I would prefer not to go through this process for a poster
presentation. If this is not possible, which I can understand, then I am
willing to give my spot to someone else.

#54 This was accepted as a poster in WG1, but we will accept it as a talk in WG5. The speaker (M. Arratia) will be in person.
#385 The speaker (D. Sohkan) will be in person
#377 We just notified, waiting for their response.
#335 The speaker (K. Tezgin) cannot come in person, so we ask you for the possibility of a remote presentation. If not allowed, he will withdraw.
If we need a formal procedure of accepting, please clone these abstracts. (Not sure what to do with the old abstracts already accepted as posters.)
We are thinking of adding more talks, but we can do it later.

It is stupid but indico does not allow to undo a decission, so if you accepted it as abstract, an abstract it is. If you prefer that I clone, no problem, just tell me.
A couple of more talks should be OK. On Qintao, tomorrow I plan to send an email to all the people in the list that I asked you to revise, https://docs.google.com/spreadsheets/d/1JIZ71IP7y036EOxD8lZUopNvRqC-PywJy..., indicating that they can register for online participation. In this way, only those who showed interest - as indicated from the beginning in the web page - will be allowed to come online. Kumano is among them, and he will be allowed to talk if he wishes.

Abstract #54 was initially accepted as a poster in WG1, but after considering the authors' appeal and also your words that we can accept a few more talks, we (WG5) decided to promote it to a talk in our WG. I have already notified the authors. They will present this in person.
Do we need additional formal steps like cloning the event and accepting? i guess this is not necessary as long as we make sure to include this talk in our agenda?
Based on your comment "you can accept a very few additional talks", we are now considering the possibility to promote two more posters (in addition to #54). I suppose this is allowable. But again, each time we make a change we need the cloning procedure?
According to the current plan, Qintao Song gives two in-person talks, #314 and #144. He is the only person who gives two talks in our WG, and I think this is not good, given that we had to reject many abstracts. Some people may feel unhappy against him, or maybe against the conveners. Part of the reason for this is that his collaborator in #144, Kumano, cannot come in person. But I just heard from Kumano asking if he should register as a remote participant. He seems to be willing to give an online talk. If this is possible, Qintao gives one talk and things look better. If not he gives two talks but that's ok. Let me know what you think.

Dear all,
This morning I have been able to confirm an additional room. The room I have found is small (25 persons) and I had to press for getting wire (to secure connections independently of wifi routers with many people connecting) there. So you can accept a very few additional talks that you really find worth, and/or think of joint WG sessions.
Hope this eases a little the situation.

Dear all,
WG1 is making, most fairly, the point that the lack of clear instructions from the side of the LPC is creating you problems. I want to apologise for this, it is being extremely complicated but this is no excuse. So, answers:
1) The Russians: the three people from Russian institutions (including one from JINR) will be contacted tomorrow jointly by the IAC and the LPC. We had to wait for CERN council communicate (last Firday at 18.30). The decission is that they can participate and talk as individuals. No mention of their affiliations can be done at any point in the conference. If they do not accept, they cannot participate.
2) Online talks. Yes, it will announced this week that online registration is possible and the conference will result hybrid. Fee will not be small, as rooms have to be paid anyway. We will group the online talks in first sessions in the morning and last ones in the afternoon.
3) Additional room for joint sessions and further talks: it is possible but it is small. So yes, you can organise some joint sessions.
4) Posters: in person only. It makes no sense otherwise.

Dear Nestor,
Given the upcoming early registration deadline and several urgent requests for clarity from potential attendees we wish to finalise our invitations and our program. However, we are currently unable to do so as we are lacking clear decisions/guidance on the side of the DIS organisers, this is leaving us in a quite uncomfortable position and so we therefore have several questions that need to be answered in order to allow us to complete our duties.
In particular:
- we need a decision/information with respect to speakers from Russian
or Belorussian institutes, since we have learned that DESY speakers would
be forbidden to participate in case there were any, see here:

You certainly have been contacted with respect to that question.
- We did not hear back from you with respect to the "joint session" with WG6,
is it refused? Would this take one session from each of us? ?
For now we have assumed it will not happen but it would make the abstract situation more straightforward.
- Most urgently, we would like to understand whether online presentations are
accepted or not (ideally without us judging the relevance of their reasons),
and whether we should prioritise in person backup talks instead. It appears we would have
enough talks that could be given in person to fill the schedule, but some are backups currently.
We have a growing list of talks for which speakers may not be able to attend and several which definitely cannot attend, in addition to several backup talks currently accepted as posters that need addressing as soon as possible (several of the authors have requested urgent clarity on this). We understand the issues of covid and other factors have complicated the organisation this year but request that you please help us to solve these issues rapidly and efficiently.
